Privacy

Booking a detail means telling us your name, how to reach you and what you drive. This is what happens to that, in plain words. It describes what the site actually does — not what a template says it might.

What we collect, and why

We ask for the least that lets us do the work and reach you about it.

When you book

Your name, email address and phone number. The vehicle’s year, make, model and size. Which service, add-ons and appointment time you chose, and whether you are waiting or dropping off. What you were charged, what you paid as a deposit and what is outstanding.

If you start booking and stop

Which screens of the booking form you reached, which package you picked, and the campaign or partner tag on the link you arrived from, recorded against a random number rather than your name, so we can see where people give up. Once you have entered your name, email and phone number, we keep those with the choices you had made, and we may call or email you once about the booking if you do not finish it.

When you send an enquiry

Your name, email, phone, what you drive, what you are asking about, and your message. If you were part-way through booking, the choices you had made.

Photographs you attach to an enquiry

Your browser resizes each photograph before it leaves your device, and that step also removes the file’s hidden metadata — including the GPS location your phone records by default. What reaches us is the picture and nothing else. They arrive as attachments on an email to the shop and are not stored on this website; all we keep in our records is how many you sent.

If you agree to hear from us

A record that you agreed, when, and from which page. We keep that record because Canadian anti-spam law requires us to be able to show consent was given, which means storing the fact rather than a tick box.

Photographs of the work

Photographs of your vehicle, before and after, and of anything that needed flagging. These are our record of the condition a car arrived in, and we also use them to show the work we do. Licence plates are blurred in anything we publish, and we never name the owner of a car. If you would rather your vehicle was not shown at all, tell us and it will not be — before or after the fact.

Referral source

If you arrived from a partner shop’s link or code, we record which one, so we know where the booking came from. Your browser keeps the code for 30 days, so a booking made later from the same device is still credited to them.

What we never collect

Your card number never reaches us. Card details are entered into a form served directly by Square and are exchanged there for a one-time token. This website receives the token and never the card. We cannot see, store or log your card number, expiry or security code, and neither can anyone with access to our systems.

Cookies and tracking

We load Google’s advertising tag, and you can switch it off here. It tells us which ads bring people to the shop. It sets cookies in your browser and Google receives that activity under its own privacy terms. That is the whole of it: no session recording, no data broker, nobody buying a list.

Switch it off and every request to Google stops, on this page and every other one. Not a tag with tracking disabled: nothing at all. The choice is kept in your browser’s own storage, never on our servers, so clearing your site data turns it back on.

Advertising cookies are on in this browser.

We also keep the click that brought you, if you arrived from one of our ads, and match it to a booking if you make one. That happens on our own side and stops when you switch the tag off. There is one other cookie in the system and it is the shop owner’s admin sign-in, which has nothing to do with you.

Typefaces are served from this domain rather than fetched from Google.

One thing happens whatever you choose, and only on the booking page: entering card details loads Square’s payment form from Square’s own servers, so your browser contacts Square directly. That is how the card stays away from us. Square’s own privacy terms cover that exchange.

Who else sees your information

A small number of service providers, each doing one job, none of them permitted to use your information for their own purposes.

Square

Takes the deposit and issues refunds.

Neon

Hosts the database the bookings live in.

Vercel

Runs the website itself.

Resend

Delivers your confirmation and reminder emails.

Microsoft

Hosts our own mailbox, so any email you send us.

We do not sell your information. We do not share it for anyone else’s marketing. A partner shop that referred you is told a booking came from their code — never your name, your contact details or what you paid.

How long we keep it

Bookings and payment records

Seven years. Not our preference — the Canada Revenue Agency requires businesses to keep records supporting their returns.

Enquiries that never became a booking

Two years, then deleted.

Waitlist entries

Twelve months, or until you ask us to remove you.

Marketing consent

For as long as you are subscribed, and for three years after you unsubscribe — anti-spam law requires us to be able to show what was agreed and when.

Photographs

Kept as the record of a job. Photographs you attached to an enquiry stay in the shop’s email for as long as that enquiry is open. Ask and we will delete yours, either way.

What you can ask us to do

Email info@detaillane.com and we will respond within 30 days, which is the limit the law sets.

See it

A copy of everything we hold about you, and who we have disclosed it to.

Correct it

Anything wrong — a misspelled name, an old number, the wrong vehicle.

Delete it

Everything we are not legally required to keep. Records supporting a completed transaction have to stay for the seven years above; everything else goes.

Stop hearing from us

Withdraw consent for marketing at any time, with no effect on service. Every marketing email carries an unsubscribe link. Booking confirmations, reminders and receipts are not marketing and continue while you have an appointment.

Keeping it safe

Traffic to this site is encrypted. The database is not reachable from the public internet. Links that let you change or cancel your own booking are cryptographically signed, so knowing a booking reference is not enough to open someone else’s appointment. Administrative access is limited to the owner.

No system is perfect. If we ever discover a breach that creates a real risk of significant harm to you, we will tell you and report it to the Privacy Commissioner, as the law requires.

If you are not satisfied

Tell us first — info@detaillane.com. Most things are a misunderstanding and we would rather fix it.

If we cannot resolve it, you can contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.

Changes

If this policy changes in a way that affects what we do with information we already hold, we will email you before it takes effect rather than quietly updating this page. The date at the top always shows the current version.

A note on cancellations

Not privacy, but the question that follows it most often: you can change or cancel your own booking free of charge up to 24 hours before your appointment, using the link in your confirmation email. Inside that window, call us.
